Health Plan Terms and Conditions

Before joining or renewing your pet's health plan, please take the time to carefully read the below terms and conditions, if you have any questions please contact the practice. 

 

1. Nature of the Plan

The Grove Vets Health Plan is a preventative healthcare programme designed to help spread the cost of preventive veterinary care and provide discounts on selected services. The Plan is not a pet insurance policy and does not cover the cost of consultations, investigations, treatment, surgery, hospitalisation, emergencies, illnesses, injuries, or ongoing medical conditions. Any treatment, product, medication, or service not expressly included within the Plan remains chargeable in accordance with the Practice's standard fees and terms and conditions.

 

2. Membership Agreement

Membership of the Plan constitutes an agreement between the client and The Grove Vets. Membership benefits are: specific to the registered pet; non-transferable to another pet or owner; and non-transferable to another veterinary practice. Membership commences on the date the first payment is received. Payments will either commence on the 28th or the 1st of the month.

3. Acceptance of Terms and Conditions

By enrolling in The Grove Vets Health Plan, whether by annual payment or monthly direct debit, the client confirms that they have read, understood, and accepted these Terms and Conditions in full. Registration to the Plan and/or payment of the first instalment shall constitute acceptance. The client further agrees to comply with all terms relating to payment obligations, cancellation procedures, and use of Plan benefits.

 

4. Parasite Prevention Products

Products are selected based on veterinary assessment of efficacy, safety, and suitability. Products supplied may change due to clinical guidance, manufacturer recommendations, stock availability, or updated protocols.

 

5. Pricing

The Practice reserves the right to amend pricing at annual review.

 

6. Payment Terms

Membership may be purchased as a single annual upfront payment or via monthly direct debit. The monthly direct debit option allows clients to spread the cost over 12 months. It does not constitute a monthly subscription. By entering into a monthly direct debit agreement, the client agrees to pay for the full annual term. Direct debit payments are processed by Vet Success on behalf of the Practice.

 

7. Automatic Renewal

Direct debit memberships renew automatically on the anniversary of the Health Plan start date unless cancelled in accordance with these terms. The Practice will provide reasonable notice of pricing changes before renewal.

 

8. Weight Changes

All dog Health Plan pricing is weight dependent. If your pet moves into a different weight category, the fee may be adjusted accordingly.

 

9. Treatments Outside the Plan

Any consultations, medications, investigations, procedures, surgeries, hospitalisation, emergency treatment, or additional services not specifically included remain payable at standard rates.

 

10. Client Responsibilities

Clients are responsible for: scheduling and attending appointments; administering medications as directed; collecting dispensed products within the membership year; informing the Practice of changes to contact details; and following veterinary advice. Unused products remaining uncollected at year end may be forfeited.

 

11. Failed Payments

Failed direct debit payments may result in suspension of Health Plan benefits. If outstanding payments are not resolved within a reasonable period, membership may be cancelled and the client will remain liable for the outstanding balance. Where products/services received exceed payments made, the Practice may charge standard non-plan prices. Administration fees may apply.

 

12. Cancellation

Clients may request cancellation by providing written notice. Annual payments: the Practice may refund unused benefits less standard cost of services received. Monthly direct debit: represents a 12-month commitment and cannot ordinarily be cancelled early. Exceptions include death of the pet or permanent transfer to another practice, at the Practice's discretion. Outstanding balances remain payable.

 

13. Unpaid Balances

Outstanding balances may be pursued in accordance with standard payment terms and may be referred to a third-party debt recovery agency.

 

14. Notice

Any notice should be provided in writing by email, post, or hand delivery. It is the client's responsibility to inform the Practice of any change to contact details.

15. Complaints

Complaints should be raised in accordance with the Practice's complaints procedure, available on request.

16. Data Protection

The Grove Vets and authorised direct debit processing providers will process personal data in accordance with applicable UK data protection legislation. Information will not be shared with third parties except where required by law or necessary for Health Plan administration.

17. Changes to Terms and Conditions

The Practice reserves the right to amend these terms from time to time. Clients will be provided with reasonable notice of material changes. Last updated June 2026.
